Research Access Privacy Notice

Last updated: 4 October 2026

This notice explains how EQRC handles personal information submitted through the Trading Research Access Request form.

Who is responsible

EQRC Ltd (company number 16540342), registered office Flat 1701, 1 New Providence Wharf, Fairmont Avenue, London E14 9PW, is responsible for this information. For privacy questions or to exercise your rights, contact Babak Mahdavi-Damghani at bmd@eqrc.co.uk.

What we collect and why

The form may collect your name, email address, organisation, role, country or jurisdiction, requested paper, intended use, optional message, your acknowledgements and your typed name. EQRC uses this information to assess and respond to your request, contact you about it, decide whether to provide the research, and keep a record of the decision and acknowledgements. A person reviews each request; submission does not automatically grant access. If approved, EQRC sends the paper separately by email.

EQRC relies on its legitimate interests in managing access to its research, distributing it responsibly, documenting acknowledgements and protecting its legal rights. Where information must be retained to meet a legal obligation, EQRC relies on that obligation.

Where information is stored and who receives it

Form submissions are stored in the EQRC website database. Access to submission records is restricted to WordPress administrators. The information may also be processed by EQRC personnel handling the request and by website hosting and email service providers, and their service providers, to operate the form and communicate with you. EQRC may disclose information to professional advisers or public authorities where necessary and lawful. EQRC does not sell this information or use it for unrelated marketing.

Service providers may process information in different locations. If information is transferred outside the United Kingdom, EQRC will use a transfer mechanism and safeguards required by applicable data protection law. You can contact EQRC for further information about relevant safeguards.

How long we keep it

EQRC keeps contact details and any optional message while it reviews and responds to the request, then deletes or anonymises them when they are no longer needed. EQRC may retain a restricted record of the request, decision and acknowledgements for as long as reasonably necessary to manage research access, meet legal or regulatory requirements, and establish or defend legal claims. Retention is reviewed and the record is deleted or anonymised when those needs end.

Your rights

Depending on the circumstances, you may ask to access or correct your information, request erasure or restriction, object to processing based on legitimate interests, or request data portability. Contact bmd@eqrc.co.uk. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

What you should not submit

Please do not include inside information, confidential client or employer information, investment account details, trading positions, or personal financial information in the optional message. Required fields are needed to assess the request; without them EQRC may be unable to respond.
